Job Description

Performsoffice tasks involving use of computer and business specific software.  His/her responsibilities may include routinedata entry, filing and retrieval of files and preparing basic reports.  The Electronic Timekeeper may also performother administrative support tasks to assist in the operations of variousdepartments in the agency.  
Key Responsibilities :


 


GeneralOffice Responsibilities: Component Proportion 70%


  • Answers telephones, routes calls and provides basic customer service.

  • Performs timely data entry of payroll related information such as new or changed schedules, attendant changes or time not worked.

  • Monitors assigned clients to ensure attendants monitor in/out per program regulations.

  • Notifies Field Supervisors of attendants not monitoring in/out correctly or not monitoring in/out.

  • Responsible for ensuring all exceptions for their assigned clients are cleared.

  • Coordinate with appropriate agency staff to ensure clients authorized services are delivered.

  • Assists attendants in resolving payroll issues.

  • Ensuring appropriate coding is used and documentation meets program requirements.

  • Responsible for expanding knowledge related to program requirements.

  • Responsible for accurate and timely completion of all tasks assigned.

  • Performs all duties related to Payroll/Timekeeping, as assigned.

  Administrative Support Operations:  Component Proportion 20%                                                  


  • Understands, adheres to, and performs all duties in accordance with established policy and procedure.
  • Exemplifies and provides leadership and guidance in promoting high ethical standards within JHS.
  • Attends seminars/workshops as assigned to stay abreast of industry changes.
  • Performs other job duties as assigned.


   Marketing/Public Relations: ComponentProportion 10%                                                   


  • Promotes JHS and its services through positive job performance, by building good relationships, and by actively participating in professional and local organizations and projects.
  • Other duties/projects as assigned

Job Requirements

Education,Previous Work Experience, Skills/Abilities, and General Requirements forPosition:

Education/Experience

  1. Must have graduated from high school or received a Graduation Equivalent Degree (GED)
  2. Prefer at least one (1) year of general office, clerical or personal care experience.

Skills & Abilities

  1. Have the ability to motivate others in a positive manner.
  2. Have good verbal and written communication skills.
  3. Possess well-developed interpersonal skills.
  4. Have the ability to organize work and schedule effectively.
  5. Have the ability to learn new computer programs and applications quickly.

  7. Have the ability to operate office equipment such as typewriters, adding machines, fax machines, phone systems, printers and copiers.
  8. Be willing and able to foster the TEAM philosophy and continuous quality improvement applications.

  1. Must have satisfactory references from previous employers.
  2. Must be able to pass a background check, which may include criminal history check and/or Sanction Screening.
  3. Must be willing to submit to and able to pass a random drug screening.
  4. Must have dependable vehicle and a valid driver’s license, and maintain valid vehicular insurance in accordance with the s laws of the State.

PhysicalRequirements:

  1. Moderate Lifting.
  2. Ability to participate in physical activity.
  3. Ability to do extensive bending, lifting and standing on a regular basis.
  4. Ability to work for extended period of time while standing and being involved in physical activity.
